{"id":3943,"date":"2021-02-04T12:27:31","date_gmt":"2021-02-04T12:27:31","guid":{"rendered":"https:\/\/chazey.codeandcode.xyz\/article\/global-business-services-gbs-or-multifunctional-shared-services\/"},"modified":"2023-11-11T06:18:59","modified_gmt":"2023-11-11T06:18:59","slug":"global-business-services-gbs-or-multifunctional-shared-services","status":"publish","type":"article","link":"https:\/\/chazey.codeandcode.xyz\/pt-br\/article\/global-business-services-gbs-or-multifunctional-shared-services\/","title":{"rendered":"Global Business Services (GBS) or Multifunctional Shared Services?"},"content":{"rendered":"<div class=\"photo-block\"><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-1906\" src=\"https:\/\/chazey.codeandcode.xyz\/wp-content\/uploads\/2021\/02\/p_searle-bw.webp\" alt=\"\" width=\"150\" height=\"137\" \/><br \/>\n<a href=\"mailto:philsearle@chazeypartners.com\" target=\"_blank\" rel=\"noreferrer noopener\"><em>By Phil Searle, CEO &amp; Founder of Chazey Partners<\/em><\/a><\/p>\n<h2 class=\"wp-block-heading\">\u201c<strong>With Global Business Services (GBS) popularity at an all-time high, is GBS truly the Holy Grail of service delivery performance? \u00a0Or can multifunctional Shared Services do just as well? \u00a0What are the pros and cons?\u201d<\/strong><\/h2>\n<\/div>\n<p>\u201cShared services\u201d as a defined operating model for the delivery of back office, and more recently middle and even front office, functions and services to the business has been around for a long time now.\u00a0 Since the mid 1980s really.\u00a0 So that\u2019s coming on for nearly 40 years!\u00a0 During that time it has been through quite a number of necessary evolutions and upgrades, with numerous trends including expansion of scope, moving up the value chain, move to multifunctional, offshoring, business process outsourcing,\u00a0<a href=\"\/shared-services\/global-business-services\/\" target=\"_blank\" rel=\"noreferrer noopener\">Global Business Services<\/a>,\u00a0<a href=\"https:\/\/chazey.codeandcode.xyz\/pt-br\/automacao-de-processos-roboticos-rpa\/\" target=\"_blank\" rel=\"noreferrer noopener\">Intelligent Automation<\/a>, and, more recently, digitalization, the move to \u201cOneOffice\u201d (Connecting the front, middle, and back offices to create a touchless and frictionless digital experience, as described by\u00a0<a href=\"https:\/\/www.hfsresearch.com\/\" target=\"_blank\" rel=\"noreferrer noopener\">HfS Research<\/a>), and, of course, remote working\/virtual Shared Services, which has been accelerated by the current COVID-19 global pandemic.<\/p>\n<p>Over the years, the\u00a0Global Business Services (GBS) model has started to really gain popularity and achieve scale.\u00a0 However,\u00a0I have often been asked \u201c<strong>With Global Business Services (GBS) popularity at an all-time high, is GBS truly the Holy Grail of service delivery performance? \u00a0Or can multi-functional Shared Services do just as well? \u00a0What are the pros and cons?\u201d<\/strong><\/p>\n<p>That is an interesting and valuable question.\u00a0 As I mentioned above,\u00a0Shared Services has been through quite a number of necessary evolutions and upgrades over the years.\u00a0 One of these has been the move from functional to multifunctional.\u00a0 Whilst GBS is often (but not necessarily always) characterized by being multifunctional in nature, GBS as an operating model is a lot more than just \u201ctraditional\u201d Shared Services \u2013 whether that traditional model is single functional or multifunctional.<\/p>\n<h3 class=\"wp-block-heading\">Key elements of Global Business Services<\/h3>\n<p>There are a number of elements of a proper GBS model (and I emphasize the word \u201cproper\u201d) that make it different from more traditional functional or indeed multifunctional Shared Services.\u00a0 These include:<\/p>\n<ul>\n<li><strong><em>Governance\u00a0<\/em><\/strong>\u2013 including coordinated, executive level leadership<\/li>\n<li><strong><em>End-to-end process understanding and approach\u00a0<\/em><\/strong>\u2013 without this there are likely to be multiple handoffs and potential \u201cbreak points,\u201d especially along and between functions and business units.<\/li>\n<li><strong><em>Proper and robust documentation<\/em><\/strong>\u2013 of processes and controls, as well as technology touchpoints. This is fundamental to enable cross-training, redundancy planning, automation, process improvement, and resource\/load planning.<\/li>\n<li><strong><em>Well defined, operated and reported performance management framework\u00a0<\/em><\/strong>\u2013 including input, operational, and output KPIs. This is critical to understanding performance impacts, monitoring progress, and pulling levers.<\/li>\n<li><strong><em>Data management, distribution and analysis\u00a0<\/em><\/strong>\u2013 these are significant drivers of high-performing GBS models.<\/li>\n<li><strong><em>Use of the latest in digitalization and intelligent automation<\/em><\/strong><\/li>\n<li><strong><em>Comprehensive Business Continuity Plan<\/em><\/strong><\/li>\n<\/ul>\n<p>Global Business Services is a much more evolved version of the traditional Shared Services model.\u00a0 It is characterized by an integrated and consistent service portfolio, delivered across the entire enterprise.\u00a0 Usually covering multiple regions\/locations, operating units and functions\/service lines.\u00a0 With global leadership, a mix of internal and outsourced service provision, core ERP and technology enablement and global process ownership.\u00a0 Often reporting directly into a CXO. \u00a0Compared to more traditional Shared Services, GBS is a more\u00a0integrated model, providing consistent governance, processes, service levels and quality.\u00a0 It offers more expertise to deliver higher value \u201cprofessional and technical\u201d services, such as data analytics, and\u00a0organization-wide decision-making support,\u00a0than simply \u201ctransactional and administrative\u201d support.<\/p>\n<p>Multifunctional Shared Services can exhibit some or indeed quite a number of these characteristics and realize many of the benefits that can accrue, but the main difference is that the possibilities and level of benefits that can be achieved are more restricted and more limited.<\/p>\n<h3 class=\"wp-block-heading\">Challenges of moving to GBS<\/h3>\n<p>On the flip side, it is also important to point out that moving forward with a GBS operating model as opposed to a functional or multifunctional model will likely involve a significant change effort and face more opposition at the functional and middle management levels.
